Job Overview:
We’re seeking a proactive, tech-savvy Personal Assistant with exceptional project management skills. If you love creating order out of chaos, enjoy leveraging cutting-edge digital tools, and want to shape a smoother, more efficient working environment, this role might be perfect for you.
Key Responsibilities:
Project Management & Organization:
• Oversee ongoing projects and tasks, ensuring everything stays on schedule.
• Create, maintain, and optimize Notion databases for both personal and business needs (financial data, client records, project tracking, etc.).
• Proactively identify upcoming tasks or obstacles, and propose solutions to keep progress on track.
Client Communication & Relationship Management:
• Follow up with clients regularly via calls, texts,
• Manage client onboarding in GoHighLevel, ensuring seamless setup and smooth handoff.
• Handle simple customer service inquiries and escalate when necessary.
Scheduling & Task Coordination:
• Manage daily, weekly, and monthly calendar appointments—both personal and professional.
• Coordinate meetings, calls, and follow-ups with clients and business partners.
• Keep track of deadlines, milestones, and upcoming events to maximize time efficiency.
Loom Video Creation & Documentation:
• Use Loom to create step-by-step tutorials, status updates, or training materials for clients and tea
• Organize and maintain a resource library of Loom videos for future reference.
Financial Organization & Confidentiality:
• Collect and organize financial information, statements, and expense data within Notion (or other approved systems).
• Maintain strict confidentiality and trustworthiness while handling sensitive information.
AI Systems & Efficiency Implementation:
• Familiarity with various AI tools and systems to automate processes, reduce manual work, and improve workflows.
• Stay updated on emerging AI trends that could benefit the business.
Internal Team Coordination:
• Communicate with tea
• Provide end-to-end assistance for assigned projects, ensuring all stakeholders are aligned.
DESIRED SKILLS & QUALIFICATIONS:
Tech Proficiency:
• Notion Ninja: Skilled at creating databases, linking pages, and structuring dashboards for clear workflow.
• GoHighLevel Experience: Able to onboard clients, manage pipelines, and coordinate campaigns.
• iPhone/iMessage User (Preferred): For seamless connectivity and direct messaging with the team.
• Loom Experience: Comfortable creating video walkthroughs, status reports, and tutorials.
Project Management & Organization:
• Proven ability to juggle multiple tasks and projects simultaneously without dropping the ball.
• Strong communication skills to track progress, remind stakeholders, and provide timely updates.
Communication & Interpersonal Skills:
• Excellent written and verbal English communication.
• Confident in making follow-up calls and coordinating with clients.
• Able to create a friendly yet professional rapport with diverse client personalities.
Attention to Detail & Confidentiality:
• Keen eye for spotting discrepancies or inefficiencies, and the initiative to propose solutions.
• Track record of handling sensitive info with unwavering discretion and integrity.
